Job Description:

The Council on Evaluation Office is seeking an Office Support Assistant IV to provide administrative support to the office, the Coordinator for Records and Registration, and the Honor Council.

Job Responsibilities:

  • Coordinate with the offices of Student Affairs and Council on Curriculum to track, monitor, and accurately assign student elective evaluators.
  • Collect elective student performance evaluations received by the Council on Evaluation and record grades in the electronic and/or official record.
  • Manage the diploma mailing process for the MD, MMSPA, and MSA programs.
  • Coordinate for the School of Medicine Honor Council and maintain student Honor Council files as necessary.
  • Set up original student files. Scan and electronically file paper student and graduate records. Report noticed discrepancies in student scheduling.
  • Coordinate with the office of Student Affairs to assist in the completion and submission of degree verifications.
  • Greet and provide information or assistance as necessary to office visitors using own knowledge of established policies and procedures.
  • Answer departmental phone in order to route calls to appropriate staff and answer routine inquiries using own knowledge of established policies and procedures.
  • Monitor departmental email account in order to route information requests and collect submitted student performance evaluations.
  • Independently compose correspondence in order to respond to administrative office inquiries using own knowledge of established policies and procedures.
  • Maintain the accuracy and confidentiality of the daily operations of the Council on Evaluation.
  • Schedule student requests for individual file review and duplicate individual records as requested by supervisor.
  • Provide support to the Graduate Health Professions in Medicine programs as needed.
  • Review and submit for approval requests for services such as printing, building or equipment maintenance or duplicating services as requested by supervisor and to maintain record of services used.

Job Requirements:

  • High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary. Education or training beyond high school may be submitted for experience.
  • Administrative experience in a higher education or professional office setting
  • Exceptional oral and written communication skills, as well as strong attention to detail
  • Ability to focus and work in a large, open, combined-office setting
  • Willingness to collaborate and work in an inter-departmental environment
